Terms & Conditions for LemFi Food Fest

1. Overview

1.1. These Terms & Conditions (the "Vendor Terms") govern the participation of food vendors (the "Vendor") in the LemFi Food Fest (the "Event") taking place in Italy and Germany.

1.2. By submitting the registration form, the Vendor acknowledges that they have read, understood, and agree to be bound by these Vendor Terms.

1.3. Submission of the application form does not guarantee participation in the Event. All applications are subject to review and selection by LemFi.

1.4. LemFi reserves the right to accept or reject any application at its sole discretion.

2. Eligibility Requirements

2.1. To be eligible for participation, Vendors must:

• Operate a legally registered food business
• Comply with all local food safety and hygiene regulations in their country of residence and in the Event location
• Hold any required licenses, certifications, or permits to operate as a food vendor

2.2. Vendors must ensure that all information submitted in the application form is accurate, complete, and truthful.

3. LemFi Requirement

3.1. All selected Vendors are required to:

• Download the LemFi mobile application
• Create and maintain an active LemFi account

3.2. LemFi may integrate its services into the Event experience. Vendors agree to cooperate reasonably with such integrations where applicable.

4. Selection Process

4.1. Vendors will be selected based on criteria including, but not limited to:

• Quality and uniqueness of food offering
• Brand and customer experience
• Operational capacity and readiness
• Compliance with legal and safety standards

4.2. LemFi may request additional information or documentation before confirming participation.

4.3. Only Vendors who receive formal written confirmation from LemFi will be authorised to participate in the Event.

5. Vendor Obligations

5.1. Selected Vendors agree to:

• Operate in full compliance with all health, safety, and hygiene regulations
• Ensure that all food served is safe for consumption and properly handled
• Maintain a clean, professional, and safe stand environment
• Respect all Event guidelines and operational instructions provided by LemFi

5.2. Vendors are solely responsible for:

• Their equipment, staff, and operations
• Obtaining and maintaining necessary insurance (including public liability insurance)
• Any permits or authorisations required to operate

6. Logistics & Participation

6.1. Vendors are responsible for their own:

• Transportation
• Accommodation
• Equipment (unless otherwise agreed in writing)

6.2. Vendors must comply with all logistical requirements communicated by LemFi, including setup times, stand specifications, and event schedules.

7. Payments

7.1. Vendors are free to set their own pricing.

7.2. Vendors are responsible for managing their own sales and payment methods, unless otherwise specified by LemFi.

8. Cancellation & Changes

8.1. LemFi reserves the right to:

• Modify Event details (location, dates, format)
• Cancel or postpone the Event if necessary

8.2. LemFi may revoke a Vendor's participation if:

• The Vendor fails to comply with these Terms
• Provided information is false or misleading
• The Vendor poses a risk to safety, operations, or brand reputation

9. Liability

9.1. Vendors participate in the Event at their own risk.

9.2. LemFi shall not be held liable for:

• Loss, theft, or damage to Vendor property
• Any financial loss incurred by the Vendor
• Any incident arising from the Vendor's operations

10. Data Protection (GDPR)

10.1. LemFi processes personal data in accordance with applicable data protection laws, including the General Data Protection Regulation (GDPR).

10.2. By submitting the application form, the Vendor consents to LemFi collecting and processing their personal data for:

• Application review and selection
• Event organisation and communication
• Operational and administrative purposes

11. General

11.1. These Vendor Terms constitute the entire agreement between LemFi and the Vendor regarding participation in the Event.

11.2. LemFi reserves the right to amend these Terms at any time. Vendors will be informed of any material changes.

12. Governing Law

12.1. These Terms shall be governed by and construed in accordance with the laws of England & Wales.

12.2. Any disputes arising in connection with these Terms shall fall under the exclusive jurisdiction of the courts of England & Wales.
